Personal data protection policy
At ReseauPsy, the protection of your personal information and respect for your privacy are at the heart of our priorities.
As a mental health clinic, we collect, use, store and protect your personal data in accordance with applicable laws and regulations, including:
- Law 25 on the protection of personal information in Quebec
- The Act respecting health services and social services
- The Charter of Human Rights and Freedoms
- The Civil Code of Quebec
- The Professional Code
1. Collection and use of personal information
When you communicate or do business with ReseauPsy (clinical consultations, training services, employment, collaboration or any other provision of services), we only collect the information necessary to provide and manage our services.
Types de renseignements recueillis :
- Identification data:name, first name, address, telephone number, email address, as well as those of your loved ones when necessary.
- Clinical data:information related to your consultation process (reason, personal and family history, lifestyle habits, state of health, evaluation and follow-up reports, etc.). This data is kept exclusively in your clinical file and processed in accordance with the ethical rules of psychologists and psychotherapists in Quebec.
- Professional data (candidates, employees, collaborators):contact details, CV, diplomas, professional experience, languages spoken, employment or collaboration contract, financial data linked to employment or practice.
- Data from suppliers or service providers:company and contact details necessary for managing the professional relationship.
2. Data retention and destruction
- Clinical records must be retained for a minimum period of 5 years following the end of services, after which they are securely destroyed unless specifically requested by the client once this period has expired.
- The professional data of unsuccessful candidates is kept for a maximum period of 6 months.
- Information related to suppliers and service providers is only kept if a professional relationship is established.
3. Access and sharing of information
Access to your personal data is strictly limited:
- Only you, your legal representative and authorized ReseauPsy professionals can consult your clinical file.
- No information may be shared with a third party without your written consent, except in situations provided for by law (e.g. court order, serious or imminent danger).
- In certain well-defined cases, anonymized data may be used for research or teaching purposes.
- Certain subcontractors (e.g.: appointment management, payment services) may have access to limited data, in strict compliance with legislation and with an obligation to protect information.
4. Partners and subcontractors
In order to offer our services, we collaborate with external service providers carefully selected for their data protection compliance. You can consult their respective privacy policies:
- GoRendezVous– management of appointments, payments and electronic clinical records
- Notion– platform for our internal company data
- SquareSpace – website and consultation request questionnaire
- Google Form– Onboarding questionnaire for therapists and customer service
5. Your responsibilities
- It is prohibited to record or broadcast images, videos or recordings related to your meetings with a ReseauPsy professional, unless expressly authorized.
- You must respect the confidentiality of other users and not disclose their personal information, unless you are their legal representative.
6. Data security
ReseauPsy implements technical, organizational and administrative measures to protect your personal information against loss, theft, unauthorized access, disclosure, copying or malicious use.
